Minutes of the April 14, 2004 Board Meeting

 

Present:  Baron, Boley, Bransky, Immel, Josserand, Keel, Kennedy, Kreicker, Patterson,       Raney, Ross, Swisher, Tsubaki, Wada

 

Absent: Hodge, Schumm

 

Meeting called to order at 5:35 p.m. by Kreicker

 

Immel moved and Keel seconded that the minutes be approved.  Passed unanimously.

 

Members reviewed the letter of resignation from former Treasurer, Jodi Simek.

Immel moved and Keel seconded to accept the resignation.  Passed unanimously.

 

A discussion was held concerning the unsatisfactory state of the Board’s financial affairs.

No funding will be received from the City until we conform to their requirements and file our 2003 IRS non-profit reporting form(s).  Patterson outlined options recommended by the City staff, including hiring Tom Singleton, C.P.A., who audits the City’s books.

 

After further discussion, Ross moved and Josserand seconded that we employ Tom Singleton to complete a compilation of all income and expenses for 2003 to conform to City requirements, to prepare and file any required IRS documents for 2003, to assist as requested in the preparation of an annual budget to submit to the City, and to establish or recommend procedures and safeguards for the Board to utilize in the future.  Passed unanimously.

 

The Board instructed Kreicker to contact Schumm about providing scholarship and travel account records to Tom Singleton so he can complete accurate documents.

 

Wada reported that she will be preparing food for An International Student Festival at the ECM on April 24th, from 5 to 7:30 p.m.  The cost is $7.00 and all are invited. 

 

Patterson reported that up to 20 Sesquicentennial commemorative books are available from the City Transit agency for only $20 each.  They would make good delegate gifts.  Josserand moved and Keel seconded that we buy the books.  Passed unanimously.

 

Regarding plaques for gifts to Mayors, Josserand moved that we buy them and Ross seconded.  Passed unanimously.

 

Keel reviewed the delegate schedule for the Eutin visit.  He and Kennedy reported that everything is on track for the student trips

 

Baron & Tsubabi, reported on an exhibit of photos from Hiratsuka and Eutin that will be displayed at the library during the Sesquicentennial  observance.
