Re:     Agenda Item – Engineering Services

DateJune 7,2004

Please include the following item on the City Commission agenda for consideration at the June 15, 2004 meeting:

Engineering Services for: Project # CS04-03 (Anderson Road Sanitary Sewer Improvements)

Project History: The 2003 Wastewater Master Plan identified an existing sanitary sewer in the area of 24th and Anderson Road as a sewer that may be undersized according to regulatory and system capacity standards. This portion of the Master Plan was developed with the use of modeling and a review of as-built records.  The Utilities Department desires to confirm existing conditions in an effort to determine the final scope of the project, since the proposed project exists in an established residential area.

Project Status:  The Utilities Department sent out Request for Proposals (RFP’s) and evaluated the six (6) proposals that were submitted.  The proposal from Shafer, Kline & Warren, Inc. (SKW) was deemed by the review team to be the best proposal based on overall professional experience of the firm, proposed project approach and understanding, cost projections, schedule, availability, and qualifications of the Project Manager, staff and sub-consultants.  SKW proposes to survey the area, perform a capacity analysis, provide alternatives, and submit a “Preliminary Engineering Report” (PER) for the amount of $5,880.  Design, bid and construction phase services, if needed, will be part of a separate contract.

Action RequestThe Utilities Department is seeking approval from the City Commission to execute a contract with Shafer, Kline & Warren, Inc. in the not-to-exceed amount of $5,880.00. for study phase services for Project CS04-03.  Funding for this project will come from the Utility Department Capitol Improvement Fund (501-7800-588-6030).

Thank you for your assistance.  Please advise if you have any questions.
