Mid-Year Funding Request
This request is submitted in accordance with City Administrative Policy No. 87
It is our City custom and practice, to exchange official delegations with our two Sister Cities every five years. This year will mark the 15th exchange with Eutin. Because of our Sesquicentennial observance, a delegation will come from Hiratsuka this year. Our delegation will go there next year, which will be the actual 15th anniversary.
Your Sister Cities Advisory Board has the obligation and the goal of providing our visiting delegations with excellent hospitality and a meaningful and memorable experience while in Lawrence. The vast majority of this obligation will be met by a small army of volunteers under the leadership of Board members who will be devoting hundreds of hours to assure the success of this Sesquicentennial delegation exchange.
All official delegates will be guests of generous Lawrence families while they are here.
We do request funding in the amount of $5,000 to help cover the costs of a dinner and recognition program for City officials, the delegates and local citizens. The public is invited to the event on the evening of September 18th. We anticipate ticket sales of at least $2,000, including those purchased by Board members.
Other funding for the event will come from a sinking fund, or revolving fund, established by the Board. It sets aside $2,000 each year to cover hospitality and gifts for the official delegation exchange visits with our sister cities every five years. We will use $7,000 from that account. In addition to the ticket sales and our own funds, we need a $5,000 city contribution to assure the success of this event
