MEMBERS ABSENT:

Kreicker called the meeting to order at 5:45

 

Hyler moved that minutes of the previous meeting be approved. Seconded by Kennedy, passed unanimously.

 

Kennedy moved that we provide welcome kits to all delegates similar to the sample that was shown and that we acknowledge the donations with notes of appreciation to the

Contributing organizations. Seconded by Tsubaki and passed unanimously.

 

Patterson reported that we could assemble the kits and temporarily store them at the

offices of the Parks and Recreation Dept.  Hyler advised that she would recruit students to do the assembly work. as part of their community service requirements.

 

Keel and Kreicker reported on the welcome ceremonies and reception for the Eutin students and their teacher, Sigurd Panthin.  The ceremony at the City Commission will be at 6:30 on Tuesday, 7 Sept. with the reception immediately following at the Depot Visitors’ Center.

 

Josserand moved that we provide a free banquet ticket for Sigurd Panthin. Seconded by Kennedy and passed unanimously.

 

Josserand moved that we provide a free banquet ticket for Alvin Howell, the artist that made the sketch of the Japanese Garden and who will make a large colored version for us to take to Japan next year.  Seconded by Tsubaki and passed unanimously.  Kreicker is to send a letter to Alvin with the ticket and let him know he is able to buy another for his wife if she also wishes to attend.

 

The Board discussed the possibility of reimbursing the Eutin delegation for transportation costs or paying for their vans as we are doing for the Hiratsuka delegation.  After discussion the board tabled the matter until the 7 Sept. meeting at which time Baron and/or Keel will have firm estimates to present.

 

Representing the Friends of Hiratsuka, Sharon Holladay announced that there would be a meeting for all families hosting delegates from Japan. It will be at the Holcomb Recreation Center at 7:00 pm on Monday, 30 August.

 

Patterson reported that she had invited a Journal-World reporter and a photographer to the banquet and to the two Mayor’s luncheons.  After discussion Keel moved that we do not provide free tickets for the reporter or photographer, in accordance with policy set by the City Commission.  Seconded by Reiber and passed unanimously.

 

Hodge reported that banquet invitations had been mailed and handed those present their own invitations.  It was noted that some board members are not dues paying members of the organization.  This issue will be addressed at a future Board meeting.

 

Hyler gave an update on the items being prepared for the time capsule.

 

Due to the planning and preparation required for the Sesquicentennial activities, the Board members agreed to meet one week early in September, on the 8th.

 

At 7:00 pm. Kennedy moved that the meeting adjourn. Seconded by Hyler and passed unanimously.
